How Effective is your Business Email Address?

As a business, 75% of your customer base is a pretty sizable number. And in an age where phishing scams and hacks are rife consumers are becoming more and more wary of emails and their senders.
So, what does this mean to you?
Using an online internet provider for your email address, for example btinternet, gmail, hotmail, yahoo and so on, whilst it may work perfectly fine, does not hold the same security as a business domain. Not only this but the features of these email addresses are limited as they are designed to be personal, consumer inboxes.
If it wasn’t enough that your features are limited, the name of your address ‘firstname.lastname@example.org’, doesn’t scream legitimate as it can be made quickly and easily by any Tom, Dick or Harry as they say. This combined with this age of uncertainty we are in due to an overabundance of cyber-attacks and phishing scams, can you really afford to lose those extra leads because of a disreputable email address?
Setting up a legitimate domain for your email address can be done in several ways and doesn’t have to cost a fortune. In fact, the difference you can make, especially with your marketing by having a professional domain could see your leads increase and your appearance in the ‘junk’ folder decrease dramatically.
Web Hosting Domains
The first option is through a web hosting route. If you have a website for your company already then there is the option for you to set up an email attached to this. Your email address with then hold the same domain as your website and link with any online queries etc far better than with another service provider.
You also remove the risk of your internet provider service shutting down, the latest instance of this being with the ‘orangehome.co.uk’ email addresses. We saw countless customers coming to us just before and after this service was closed with concerns as to what would happen with their emails. A professional purchased domain, doesn’t have this concern.
That being said there are some issues with emails through web hosting. For instance, if you were to forget to pay your renewal or cancel your hosting, you would lose access to your emails. A good hosting company would likely create a back up for you, and give you plenty of notice that this was happening, however there are some cases where this doesn’t happen – so it pays to be on the ball.
Office 365 Domains
If you didn’t want to run that risk then there’s the second option of Office 365, this is the option our technicians would most recommend at Dove Computers. There are two versions of Office 365, Business and Business Premium, both of which provide you with a professional and personalised domain to your company. The third edition, Office Business Essentials, merely provides you with the features and not outlook, which would provide you the professional email.
The risks however that can be seen with web hosted emails are not an issue here as Office 365 licenses are your own, with your own log in account, entirely separate to any web provider, though of course they do require the internet to access and receive emails.
The other thing with Office 365 is that the available packages provide you with a great many features. You get your Office programs (Word, PowerPoint, Excel etc.) all of which are only beneficial to your company’s functions, no matter your industry.
Office 365 Business is a mere £7.90 per user/per month and Office 365 Business Premium is just £9.40 per user/per month. By adding additional licenses you are able to add more departments to your company, no matter how small it is. You may add a ‘email@example.com’ or an ‘firstname.lastname@example.org’ as well as a ‘Joe@mybusiness.com’ or ‘JBlogs@mybusiness.com’, however you choose to work your email address, it is all under your control, whereas this is not the case for an online web provider.
Once upon a time, a customised professional domain was a luxury and gave your company added professionalism. Nowadays however it is an expectation of consumers.
